We are the data controller responsible for your personal information collected through this website and our booking process.
2. What Data We Collect
We collect only the information you voluntarily provide to us. Depending on how you interact with us, this may include:
- Name — to address you personally and manage your enquiry
- Email address — to communicate with you about your enquiry, booking or subscription
- Phone number — if you choose to provide it, so we can discuss your travel plans
- Travel preferences — destinations, activities, group size, preferred experience tier, and travel dates, collected through our enquiry form to help us design your itinerary
- Message content — any additional information you choose to share via our contact or enquiry forms
3. How We Collect Data
We collect personal data in the following ways:
- Enquiry form — when you complete our trip design quiz on the Enquire page
- Contact form — when you send us a message via the Contact page
- Newsletter signup — when you subscribe to receive destination guides, offers and inspiration (via the footer on any page)
- Email — when you email us directly
4. Legal Basis for Processing
Under UK GDPR (Data Protection Act 2018), we process your personal data on the following bases:
- Consent — for newsletter subscriptions and optional mailing list signups. You can withdraw consent at any time by unsubscribing or contacting us.
- Legitimate interest — for responding to enquiries and contact form submissions, where we have a genuine business need to communicate with you about your travel plans.
- Contractual necessity — if your enquiry progresses to a booking, we will process your data to fulfil our contractual obligations.
5. Analytics (Matomo)
This website uses Matomo, an open-source web analytics platform, to help us understand how visitors use our site so we can improve your experience.
Matomo is configured in cookieless mode. This means:
- No cookies are placed on your device for analytics purposes.
- No personal data (such as your name, email address or IP address) is stored or tracked.
- Aggregated, anonymised data is used only to measure page views, traffic sources and browsing behaviour at a site-wide level.
- No data is shared with third parties. All analytics data remains on our own servers.
Because Matomo runs without cookies and collects no personally identifiable information, no consent is required under UK GDPR and PECR for this analytics setup.
6. How We Use Your Data
We use your personal data only for the following purposes:
- To respond to your enquiry and design a personalised travel itinerary
- To communicate with you about your enquiry or booking
- To send you newsletters and travel inspiration if you have subscribed (you can unsubscribe at any time)
- To improve our website and services based on aggregated analytics data
We will never sell your personal data to third parties or use it for purposes you have not consented to.
7. Data Storage and Retention
Your personal data is stored securely and retained only for as long as necessary:
- Enquiries and contact form submissions — retained for the duration of your enquiry and up to 12 months after your last communication, unless a booking is made (in which case records are kept for 6 years as required by UK law for Package Travel operators).
- Newsletter subscribers — retained until you unsubscribe. You can unsubscribe at any time via the link in any email or by contacting us directly.
8. Data Sharing
We do not share your personal data with third parties except where necessary to fulfil your enquiry or booking:
- Email transmission — form submissions are sent via email to our team using standard email protocols. Email is transmitted securely, but we recommend you avoid sending sensitive personal data (such as passport numbers) via unencrypted forms until a secure booking channel is established.
- Travel suppliers — if a booking progresses, relevant data will be shared with lodges, hotels, tour operators and other travel partners as necessary to deliver your itinerary. You will be informed of this at the booking stage.
We will never share your data for marketing purposes with third parties without your explicit consent.
9. Your Rights
Under UK GDPR, you have the following rights regarding your personal data:
- Right of access — you can request a copy of the personal data we hold about you
- Right to rectification — you can ask us to correct any inaccurate or incomplete data
- Right to erasure — you can request deletion of your personal data, subject to legal retention requirements
- Right to restrict processing — you can ask us to limit how we use your data
- Right to data portability — you can request a copy of your data in a machine-readable format
- Right to object — you can object to processing based on legitimate interests or direct marketing
- Right to withdraw consent — at any time, without affecting the lawfulness of processing before withdrawal
To exercise any of these rights, please contact us at info@africagolfandsafari.com. We will respond within 30 days.
10. International Transfers
Your personal data is processed within the United Kingdom and the European Economic Area (EEA). If your enquiry or booking involves travel partners based outside the UK/EEA, we will ensure appropriate safeguards are in place before transferring any data, in compliance with UK GDPR.
11. Security
We take appropriate technical and organisational measures to protect your personal data against loss, alteration, unauthorised access or disclosure. This includes secure hosting, encrypted communications where possible, and restricted access to personal data within our team.
However, no data transmission over the internet is completely secure. While we strive to protect your data, we cannot guarantee absolute security of information transmitted to us via online forms.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. We encourage you to review this page periodically.
